As we move towards linking our iPhone, iPad, Mac and Web productivity tools together, I thought of this recent conversation I had with a prospective user. She asked all the right questions.

Can I create different categories?

You can create different categories, each with its own color. Each “category” can contain both Events and Tasks.

Can I create recurring Tasks?

You can create recurring Tasks. When you mark the existing recurrent task as “done”, SmartCal automatically generates a new one for you, with a deadline that is x # of days from the completion date of the previous one.

Can I convert a Task into an Event, or an Event into a Task?

You can easily convert a Task into an Event and vice versa. This is our unique point. Actually, the only difference between an Event and a Task is that an Event has a fixed time in the calendar, whereas a Task has a ‘suggested’ time based upon its sort order in the task list and the free time between Events. It’s called total integration.

Does SmartCal have different themes?

– SmartCal has two themes: Apple Blue and Opaque Black.

Does SmartCal have different view options?

The default view is a day calendar, with Tasks integrated directly into the calendar. SmartCal also has a week and month calendar, just flip the iPhone sideways.

You can also view the Task list separately, and you can change the sort order by dragging tasks up and down. There are also special quick filters and you can sort by Due.

There is also a Project view so you can view all of your  tasks, by Category.

Does SmartCal have birthday reminders?

For birthday reminders, just use your “birthdays” calendar which is in your iPhone calendar. It automatically includes birthdays from your Contacts list. SmartCal syncs automatically (or manually) with all of your iPhone calendars.

Does SmartCal have appointment templates?

You can easily duplicate an existing appointment, just highlight it and select “duplicate”.

How does SmartCal connect to my other calendars and task lists?

The current version syncs Calendar Events with the iPhone Calendar, and Tasks with Toodledo.  In this way, external calendars that you sync to your iPhone calendar (via iCloud, Outlook, Exchange, Google) can also be connected to SmartCal. Likewise, any Tasks that you can sync to Toodledo (via Outlook, Reminders, etc) can then be connected to SmartCal.

In the near future: SmartCal (iPhone), SmartPad (iPad), and SmartDay (Mac) will all sync directly with our free web organizer, SmartDay Web. For more on the SmartDay project, click here.
